Poster & Case Study Submissions

The Conference Committee cordially invites you to submit proposals for a virtual (online) poster and case study presentations for the 2026 AIA Aromatics in Action® Conference. This is an excellent way to share your work and receive invaluable feedback from your peers and colleagues.

In keeping with our sustainability mission, all posters and case studies available only online. Poster and Case Study submissions will be available for all in-person conference attendees.

Below you will find information about poster and case study presentations, suggestions for how to prepare and present, and our submission guidelines. There is no monetary compensation for poster presentations accepted for display, however the posters will be judged, and awards will be presented in various categories reflective of the conference theme.

In addition, abstracts about your poster, along with your contact information, will appear in the Conference Proceedings if submitted by June 1, 2026.

What is a poster?

Posters are a fantastic way to let others know about your ideas, a new line of research you are pursuing, or to present information about a specific protocol or aromatic intervention used in a clinical context. Posters, and their authors, inspire others and promote valuable feedback from peers in the aromatic community. The possibilities are endless!

Information on posters should be presented succinctly and clearly so that your viewers can glean the essence of your poster quickly, typically in no more than 5-10 minutes. The format will be both audio and visual as you are given the opportunity to share your work in a 3 minute video.

What is a case study?

Case studies are a valuable tool for improving practitioner skills. They are performed by student or qualified aromatherapists with the intent to explore, rationalize, reflect, and educate. Case studies may describe a solution to a problem or satisfy our own inherent curiosity. They can also further the knowledge and scope of the community in which we operate. Case studies build on existing anecdotal and written information to prove and reinforce or disprove the theories that this information postulates.

There are many reasons to write case studies, such as to increase one’s own knowledge of a specific topic, to earn continuing education (CE) credits, or to satisfy coursework requirements. Finally, a case study may be written with the intent to be published.

Case studies can provide the first step in the process of escalating findings to a large cohort or group to further verify the initial findings. If case studies are completed using a standardized format and language, they are easier to compare, contrast, and collate.

Small Distiller Grant

The AIA Small Artisan Distiller Grant program was created to support the work of small artisan distillers (small artisan distiller: does not provide product for bulk distribution through another party; and production volume averages less than 100 kg essential oils/10,000 kg hydrolats) around the world by connecting them with a wider audience and raise awareness for their work. 

The grant offers a free exhibit booth at our conference and up to $500 for travel support. To be considered to receive a grant and booth, tell us your story!

Awardees must be able to attend the conference and have an exhibit booth to receive the grant. Membership in AIA is not required.

*If you are unable to travel to the conference, we will not be able to accept your application. As an alternative, we invite you to send enough sample products to be given to our participants along with information about your company.

Conference Scholarship

Thank you for your interest in attending Aromatics in Action® 2026: Rooted In History • Vision for the Future.

With the support of a generous donor, we are pleased to offer financial assistance to individuals who show both need and a strong commitment to attending this in-person event.

Please complete this application to be considered for a Conference Scholarship, which covers the cost of a base conference ticket (value of $299 USD).

Scholarships will only be awarded to those individuals who commit to attending the conference in-person.
